Make an invoice with AI

Short on time after a job? These steps could help you turn a voice note or quick notes into a tidy invoice layout you can copy into your usual invoicing tool or template.

Four steps, about ten minutes

  1. Note the job: customer, date, work done, materials, hours and rates.
  2. Paste your notes into the prompt below (leave out bank passwords and card numbers).
  3. Check the line items and totals with a calculator.
  4. Copy the result into your invoice template or app and send it yourself.

A prompt you could copy

Turn these job notes into a clear invoice layout.
My business name and ABN: [details]
Customer: [name]
Job notes: [paste]
List each line item with quantity, rate and amount, then subtotal, GST (10% if I am registered, otherwise none) and total. Show your maths. Flag anything that looks missing or unclear. Do not invent prices.

Check before you send. Recalculate every total yourself. AI can make maths mistakes. AI can get facts, dates and names wrong. You decide what goes out.

Do I need to charge GST?
